Bilterm Privacy Policy

Bynapse Technology (“we”, “us”) operates Bilterm, a property-management portal at portal.bilterm.com, and this website at bilterm.com. This policy explains what personal information we collect and what we do with it, in accordance with Québec’s Law 25 (Act respecting the protection of personal information in the private sector).

Last updated: September 2026. [TO REVIEW: confirm effective date and versioning practice.]

Information we collect

Account information. When you create an account or request early access: your name, email address, phone number, and address. Sign-in may use email/password, magic link, or Google OAuth.

Property data you enter. Buildings, units, leases, tenants, rent charges and payments, maintenance requests, vendor records, messages, and files you upload to the portal. This data may contain personal information about your tenants (names, contact details, lease terms). You are responsible for having a lawful basis for providing tenant information and for informing your tenants.

Usage information. Basic technical data needed to run the service: sign-in events, device and app information, and notification delivery status.

Website contact. If you use the contact form or email us, we keep your message and address to respond.

We do not collect payment card or banking information — Bilterm does not process payments. [TO REVIEW: confirm no analytics or tracking tools are in use on bilterm.com or the portal; if analytics are added, disclose them here.]

How we use it

  • To operate your portal account: authentication, data storage, notifications (push, SMS, email).
  • To provide the features you use: ledger, maintenance, inbox, Drive, AI assistant, agent integrations.
  • To respond to your messages and support requests.
  • [TO REVIEW: confirm whether any data is used for product improvement or aggregated statistics.]

We do not sell personal information. We do not use it for advertising.

Where it’s hosted and who sees it

Bilterm’s backend runs on Supabase infrastructure. [TO REVIEW: confirm hosting region(s) — data residency matters under Law 25; disclose if data leaves Québec/Canada.]

Access inside our team is limited to what each person needs. Sub-processors with potential access to personal information: [TO REVIEW: list sub-processors — e.g. Supabase (hosting/database), OneSignal (push notifications), Google (Gemini AI chat, OAuth, maps), messaging providers for the unified inbox.]

AI features: the in-portal AI assistant processes documents and notes you provide to answer your questions. [TO REVIEW: confirm data handling terms with the AI provider — retention, training use.]

Agent integrations (MCP): if you create an integration token and connect an AI agent, that agent can access the data within the token’s scopes. You control each token — name, scope, expiry — and can revoke it at any time.

Your rights

Under Law 25 you may request access to your personal information, its rectification, and — subject to legal retention obligations — its deletion. To make a request, write to office@bilterm.com with “Privacy request” in the subject. [TO REVIEW: designate the person responsible for the protection of personal information, as Law 25 requires, and publish their title/contact.]

Retention

We keep your account and property data while your account is active. [TO REVIEW: define retention periods after account closure and for tenant data entered by landlords.]

Breach notification

If a confidentiality incident involving your personal information presents a risk of serious injury, we will notify you and the Commission d’accès à l’information as required by Law 25.

Changes

We’ll post material changes to this policy here and update the date above. [TO REVIEW: confirm change-notification practice.]
