Drive<\/strong> is Bilterm\u2019s file manager: leases, insurance certificates, invoices, floor plans, photos \u2014 organized by building, unit, lease, and tenant instead of dumped in one folder.<\/p>\n\n\n\n

  1. Open Drive<\/strong>. The toolbar gives you New folder<\/strong>, Upload<\/strong> (with a dropdown), Search files<\/strong>, view toggle (grid\/list), and the sections and storage menu.<\/li>
  2. Follow the physical folder tree: Buildings \u2192 Units \u2192 Leases \u2192 Tenants. A lease PDF belongs under its unit; the building\u2019s insurance certificate belongs at the building level.<\/li>
  3. Upload with the dropzone or the Upload button. Files show their size and date; the header shows how much storage you\u2019ve used.<\/li>
  4. Tag files by category<\/strong> \u2014 lease, invoice, insurance, contract, floor-plan, photo, report, other \u2014 and add tags<\/strong> so search actually finds things.<\/li>
  5. Share per file: open the file\u2019s 3-dot menu and share it with a tenant, a team member, or a vendor<\/strong>. Everything is private to your organization until you share it.<\/li>
  6. You don\u2019t have to live in Drive: the building detail page has its own Files & Photos<\/strong> section with Add file<\/strong>, and records like superintendent contracts have an attach-file control built in.<\/li><\/ol>\n\n\n\n

    Tips<\/h2>\n\n\n\n
    • Name files like you\u2019ll search for them: \u201cBail-85A-2026-2027.pdf\u201d beats \u201cscan_final2.pdf.\u201d<\/li>
    • Share the signed lease with the tenant at signing time \u2014 then stop emailing leases entirely.<\/li>
    • Keep two file areas straight: team files<\/strong> (visible to your organization) and personal files<\/strong> (yours alone). The building insurance goes in team files; your private notes stay personal.<\/li><\/ul>","protected":false},"excerpt":{"rendered":"
