Tenant conversations live everywhere: email for the formal stuff, SMS for the quick stuff, WhatsApp and Messenger because that\u2019s where people actually reply. The Inbox<\/strong> puts all four in one thread list.<\/p>\n\n\n\n

  1. Open Inbox<\/strong>. Conversations are on the left; click one to read it \u2014 \u201cSelect a conversation to view messages in main.\u201d<\/li>
  2. Unread counts show on each thread. Work top-down, oldest unread first.<\/li>
  3. Reply right in the thread. Your reply goes back out through the channel the message came in on \u2014 a WhatsApp message gets a WhatsApp reply.<\/li>
  4. Use internal notes<\/strong> for the stuff the tenant should never see: \u201cTenant claims the noise is the upstairs unit \u2014 check with 85B before responding.\u201d<\/li>
  5. Email attachments land on the thread. Save the important ones to Drive rather than leaving them buried in a conversation.<\/li><\/ol>\n\n\n\n

    Tips<\/h2>\n\n\n\n
    • The inbox is also where maintenance photos arrive. When a tenant sends \u201chere is the photo you asked for,\u201d it\u2019s already attached to the thread \u2014 reference it when you create the maintenance request.<\/li>
    • Internal notes are your institutional memory. Six months from now, \u201cwe agreed to repaint in spring\u201d as a note beats your memory of the conversation.<\/li>
